User Accounts

The TE Data Manager is responsible for adding User Accounts and enabling access to CASAS eTests and TOPSpro Enterprise (TE).

CASAS requires training certification to access CASAS eTests. Upon Proctor or Coordinator certification, the agency determines the appropriate eTests Access Group for each staff member.

CASAS does not require training to access TE however, the agency may require training. Select only one TE Access Group per user. TE Admin Access grants privileges similar to those of the TE Data Manager, TE Basic allows users to view student data and generate reports, and TE Teacher Access restricts users to viewing data for students enrolled in their class and generating class reports for their students.

Roles refer to programs that have been granted access to the CASAS Teacher Portal. If your program is interested in using the portal, please contact techsupport@casas.org.

  • List records only

TE Data functions may be:

  • Create (add) new records
  • Update records
  • Delete records

Users may be granted:

  • Access to TE without access to eTests
  • Access to eTests without access to TE
  • Access to both TE and eTests

2. eTests Access Groups

Access to CASAS eTests is determined by the staff member's role. Coordinator and Proctor Certification is required. TE Data Managers must keep copies of certificates on file to validate certification.

CASAS eTests users may be granted:

  • Coordinator access to eTests without Proctor access
  • Proctor access to eTests without Coordinator access
  • Coordinator and Proctor access to eTests
Note: The TE Data Manager is not required to enable both coordinator and proctor access to CASAS eTests if staff complete both certifications.

3. Add User Accounts for Staff

The TE Data Manager is responsible for adding and managing all User Accounts for staff. User accounts grant staff members access to TE, eTests, or both. The TE data manager can add as many users as needed for your program’s online account.

If your program ever needs to change the Main Point-of-Contact or Data Manager for any reason, please email golive@casas.org with the new contact information (full name, phone, and email address).

This demonstration will show you how to add User Accounts for staff.

4. Adding and Linking Personnel Records

Personnel records include a Registration, Functional Role, Employment, and Professional Status record. You can assign Teachers to classes by adding a Functional Role to their Personnel record. When you link a teacher's Personnel record with their User record, teachers can access their class and student information. This is particularly important if you plan to use the TE Teacher Portal.

Add Personnel Records with Importing in TE

Importing Personnel Records will automatically add and link with User Records.

To automatically assign Functional Roles for Teachers, first import Personnel Data. Then, import Class Data with Teacher IDs to automatically assign teachers to classes – i.e., automatically add a Functional Role for the teacher.
